Managing Product Availability, Schedules, and Inventory

Overview

The Availability section controls the “When” and “How Much” of your product. It defines your operating hours, recurring patterns, and the total capacity for your experience.

Inventory & Capacity

Inventory in Spotinga represents the Total Capacity or the number of spots available for booking.

  • Global Capacity: Defined at the Schedule level. This is the default number of people who can participate in the experience during the hours defined by that schedule.
  • Slot-Specific Capacity: If you are using specific start times (Daily Slots), you can override the capacity for an individual slot. This is useful if a specific time of day (e.g., a “Sunset Tour”) has a smaller group size limit.

Applicable Schedules

Schedules are the rules that govern which days and months your product is active.

  • Setting Schedules: You can link multiple schedules to a single product.
  • Operating Hours: For each schedule, you can define specific operating windows:
    • All Day: The product is available throughout the entire operating day.
    • Time Windows: Specific “From” and “To” times (e.g., 09:00 - 17:00).
  • Timezone: Note that all times are processed based on your Organization Timezone. Ensure your local device matches this when setting up schedules to avoid confusion in start times.

Booking Slot Mechanisms

The “Booking Slot” defines the customer’s journey when choosing a time.

Date & Time Mechanism

This is the most common setup for tours and experiences. It allows you to define specific “Daily Slots” for your product.

  • Adding Slots: Click “Add Slot” to define a new start time.
  • Slot Configuration:
    • Name: An internal identifier for the slot (e.g., “Morning Departure”).
    • Time: The specific start time in 24-hour format.
    • Duration: How long the activity lasts. The system uses a specialized duration filter to display this clearly to users.
    • Inventory Override: Set a specific capacity for this time slot if it differs from the general schedule.
    • Linked Schedules: You can choose which of your organization’s schedules this specific slot belongs to. For example, a “Weekend Only” slot.

General Availability

If your product doesn’t use specific start times (like a museum pass or a multi-day rental), the system will display a simplified view stating the product is “Available on all days & months” based on the basic schedule hours.

Confirmation Options

Availability settings also influence how the system handles the inventory “Handshake”:

  • Instant Confirmation: If inventory is available within your defined capacity limits, the booking is confirmed immediately without manual intervention.
  • Manual Review: Some product types allow you to review booking requests before they are deducted from your total capacity.

When editing a slot, remember that changes to capacity or time will apply to all future dates associated with that slot’s schedules.
