Overview
This section guides you through configuring your high-level Organization settings and the individual Stores that represent your customer-facing brands or locations.
Organization Setup
The Organization represents your legal entity and the root of your Spotinga account. Settings defined here serve as the global fallback for all stores.
Basic Identity
- Organization Name: Your primary brand or legal name.
- Website: Your main corporate URL.
- Description: A high-level overview of your business.
- Business Location: Use the Google Business Location field to sync your address directly from Google Maps. This helps pre-populate your operating country and coordinates.
Localization & Defaults
The system uses these defaults to initialize new products and stores:
- Country & Currency: When you select a country, the system automatically suggests the primary currency (e.g., selecting “India” defaults the currency to “INR”).
- Timezone: This is critical for schedule management. By default, the system attempts to sync this with your current browser environment.
- Supported Languages (i18ns): Define which languages your staff can use to provide translated content for products.
Security Settings
- Disable Self Signup: If enabled (
isPrivate), only administrators can add new members to the organization. This is recommended for private operators who do not want external users requesting access.
Corporate Media
To maintain a professional presence, upload high-quality assets:
- Icon: A square image (1:1), minimum 128px.
- Logo: Optimized for headers, maximum 400px width x 100px height.
- Banner: A wide 16:9 image, minimum 800px width.
Product Stores
Why are Stores separate from the Organization?
While the Organization represents your business, Stores represent your sales channels. Separation is necessary for several reasons:
- Multi-Branding: You can operate “Boutique Tours” and “Budget Adventures” under the same company but with completely different websites, logos, and support emails.
- Geographic Business Units: If you operate in both London and Paris, each city can have its own store with local timezones, tax IDs, and notification recipients.
- Specific Accounting: Stores can have different Tax Policies and Invoice Prefixes, allowing you to keep financial records distinct for different revenue streams.
Store Configuration
- Internal Name: A name for your team (e.g., “Main Office POS”). If left blank, it defaults to the public Title.
- Store Slug: This is the URL identifier (e.g.,
spotinga.com/s/your-slug). It is auto-generated from the title but must be unique across the platform. - Operating Status: Use the IsOpen toggle to control whether a store can actively accept orders.
Financials & Invoicing
- Tax ID / VAT: Specific registration numbers for this store’s jurisdiction.
- Invoice Meta: Define a custom Prefix (e.g., “LON-”) and specific Remarks or terms that should appear on customer receipts for this specific store.
Communication
- Notification Emails: Define an array of email addresses to receive booking alerts. The system validates these to ensure they are properly formatted.
- Support Contact: Unique phone and email details specifically for customers of this storefront.
Best Practices for Administrators
The “Default” Store
Every organization must have at least one store marked as Default. This store acts as the primary destination for any products not explicitly assigned to a specific storefront. You cannot remove the “Default” status from a store unless another store is first designated as the new default.
If you are a solo operator, keep your Organization and Store details identical. As you grow and add more locations, use the Store settings to localize the customer experience without changing your legal corporate identity.
