Overview

As an administrator, your role in the onboarding process is to curate your partner network, ensure payment compliance, and assign the correct commission structures.

Understanding Partner Status

The system tracks partners through a specific lifecycle. Knowing these statuses helps you filter your task list effectively:

  • Created: A partner record exists (usually via manual invite) but they haven’t completed their profile or verified their account.
  • Pending: The partner has submitted their application and is waiting for administrative review.
  • Active: The partner is approved. Their tracking links are functional, and they can earn commissions.
  • Paused: Tracking is temporarily disabled. No new commissions will be calculated during this period.
  • Rejected: The application was declined by an administrator.
  • Banned: The partner is blocked due to fraud or policy violations.

Reviewing & Approving Applications

When a partner applies through your storefront, they appear in the Pending list.

Verification Steps

  1. Identity Check: Review the Name, Email, and Country provided.
  2. Referral Code: Every partner must have a unique refercode. This code is the foundation of every link they generate.
  3. Approve/Reject:
    • To Approve: Click Approve. The system will set the Approved At timestamp and move them to Active.
    • To Reject: Click Reject. You must provide a Rejection Reason. This is stored in the database for audit purposes and helps the applicant understand why they were declined.

Configuration Post-Approval

Once a partner is active, you should configure their specific financial and performance rules.

Commission Overrides

By default, partners use the Default Affiliate Plan defined in your Program. However, you can negotiate private rates:

  • Override Plan: Select a specific Affiliate Plan in the Override field. This takes precedence over general program defaults for every sale this partner drives.

Payout Settings

Partners cannot be included in payout batches until their details are configured:

  • Methods: The system supports Bank Transfer, Stripe, Paypal, Crypto, Check, and Store Credit.
  • Thresholds: Set the Minimum Payout Threshold (default is 50). The partner’s Pending Amount must exceed this value before they appear in a Payout Batch.
  • Currency: Ensure the partner’s currency matches your payout capabilities to avoid conversion errors.

Inviting Partners Manually

If you are recruiting a specific partner directly, you can bypass the public application flow:

  1. Navigate to the Partner List and click Invite Partner.
  2. Enter their Name and Email.
  3. The system creates a record in the Created status.
  4. You can pre-assign a specific Override Affiliate Plan during the invite so they start with their negotiated rate immediately upon activation.

Monitoring Partner Health

The partner profile provides a real-time summary of their value to your organization:

  • Lifetime Revenue: Total booking value (gross) driven by the partner.
  • Lifetime Conversions: Total count of successful bookings.
  • Earnings Snapshot: Review Total Paid vs Pending Amount to understand your upcoming liabilities.

:::info Step-up Tracking If a partner is assigned to a Step-up Plan, their Current Stepup Tier is updated based on Lifetime Revenue during the system’s periodic snapshot process. :::
